What we process when you use the platform

To write your email, we ask for your postcode and (optionally) your own words about the issue. We use these to generate your draft only. Your postcode and personal context are discarded immediately after your draft is produced. We do not store them.

We do not handle your email. When you are ready to send, the platform opens a pre-written message in your own email app. We never see your email address and never send anything on your behalf.

What we retain

We keep three pieces of anonymous data for each session: the first part of your postcode (for example "BN1", not your full postcode), the issue you selected, and the date of your session. This data cannot be used to identify you.

Why we keep it

We retain this data to understand how the platform is being used: which issues people are acting on, from which areas, and whether usage is growing. This helps us improve the service and demonstrate public impact.

The lawful basis for this retention is Legitimate Interests under UK GDPR (Article 6(1)(f)). A Legitimate Interests Assessment has been completed and is available on request.

Your rights

You have the right to request deletion of any data we hold. Because the data we retain is anonymous, we cannot identify a specific record as yours without additional information from you (such as the approximate date and issue of your session). To make a deletion request, contact hello@regarding.org.uk.

You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
